Charity Form Processing

CHY 3 Policy

Christ Church Cathedral is a registered charity and receives donations via electronic bank transfer and via a weekly donation “envelope” scheme. Where donors have contributed €250 or greater in one year, the cathedral may be eligible to receive an income tax refund on their donation.

Donors who have donated more than €250 in one year are asked to complete a CHY3 form which is an enduring certificate confirming their consent for donation of income tax relief to the Cathedral.

Process

  1. Accounts team identifies all donors who have donated €250 or more and informs Volunteer.
  2. Volunteer maintains spreadsheet with list of donors per year.
  3. Volunteer prepares CHY 3 forms and forwards by email to Office Manager for posting.
  4. Donors are informed of the reasons we need their data and are asked to sign a form to acknowledge this.
  5. Returned, signed CHY 3 forms are scanned to a secure site in Sharepoint which only Office Manager and CEO can access.
  6. Volunteer prepares a list of donors for accounts team.
  7. Accounts team upload to revenue to make the claim.
